Employee Management Manual
Add, update, and manage your workforce accounts and designations.
1. Introduction
Use the Employee module to control check-in access for your field team. Profiles registered here can log into the StaffTimer mobile application using their email and password.
2. Employee List
The Employee List serves as your primary directory. From this page you can:
- Search & Filter: Use the search bar to find employees by name, phone, or email. Expand the filter panel to sort by Status (Active/Inactive), Designation, or Department.
- Quick Status View: Quickly identify whether an employee is Active, Inactive, or Deleted via the color-coded badges in the table.
- Export CSV: Download your entire employee directory, complete with applied filters, into a CSV format for external record-keeping.
3. Add Employee
To onboard a new team member, click the Create Employee button (availability depends on your subscription tier seat limits). You will need to provide the following details:
- Employee Code: A unique alphanumeric identifier for the employee (e.g. EMP001). Subsequent additions will auto-increment from this code.
- Basic Details: Full Name, Email Address, and a 10-digit Mobile Number.
- Work Info: The employee's Designation (e.g., Sales Manager, Developer) and Department.
4. View Employee Profile
Click the Eye Icon next to any employee in the list to open their detailed profile page. The profile is split into two sections:
- Employee Details: A comprehensive card showing all their contact and work information, alongside their current status badge.
- Employee History Timeline: A sidebar tracking major account events. It logs when the profile was created, when any details were updated, and when their status was toggled, complete with timestamps and the name of the administrator who made the change.
5. Update & Manage Employees
From the Employee Profile view, you can perform administrative actions using the top-right toolbar:
- Edit Profile: Update the employee's name, contact details, designation, or department.
- Toggle Status: Deactivate an employee to temporarily revoke their mobile app access, or Activate them to restore it.
- Delete Employee: Permanently mark an employee as Deleted. (Note: their historical attendance data will be retained for reporting purposes).
